Arrange for Automatic Withdrawal of Monthly Association Dues
At closing, new homeowners must pay the first two months of Association dues. To arrange for automatic withdrawal of funds from your bank account beginning with the third month and continuing thereafter, contact the Treasurer (BRCA.Treasurer.direct@gmail.com) or complete the Association’s ACH Deposit Authorization Form and email it to the Corporate Secretary (CorpSecBRCA@gmail.com).

To help ensure that you are properly registered with the Association and can participate in its governance, please complete the following forms and send them to the Corporate Secretary (CorpSecBRCA@gmail.com) as soon as possible.

Arrange for Moving Trucks of the Right Size
Due to our narrow roads, sharp turns, low-hanging trees and limited parking, large tractor-trailer moving trucks are not permitted within Beaverdam Run.
If your move involves a tractor-trailer truck, please arrange to have your belongings transferred to smaller box trucks, or similarly sized vehicles, for delivery to your new home. Numerous moving companies in Asheville are familiar with the size of trucks that can safely maneuver our roads. A large, paved shoulder at 415 Beaverdam Road, about a mile before you arrive at Beaverdam Run and across from Lewis Memorial Park, is often used for transferring household goods from a tractor-trailer to one or more smaller trucks.
Use the Service Gate for All Moving-In Vehicles: Email the Gates Committee to Schedule
All moving vehicles, even the smaller trucks, must use the Beaverdam Run Service Gate, which can only be opened by a member of our Gates Committee. When you have a moving date, contact the Gates Committee (BRCA.Gates@gmail.com) to arrange for the Service Gate to be opened. Please provide the anticipated timing for both arrival and departure of the trucks. If possible, alert the Gates Committee two or three days before the gate needs to be opened.
Check Garage Measurements
If you haven’t already, measure or request current measurements of your garage to ensure that oversized vehicles you plan to bring will fit.
Set Up Utilities
Use the information below to establish or transfer utilities. At a minimum, electricity and gas service should be activated as soon as possible after closing.

Change Your Mailing Address
Notify the U.S. Postal Service of your new address by visiting the U.S. Postal Service website. Addresses in Beaverdam Run are in the 28804 zip code.
Determine Who’s Responsible for Repairs Identified in the Home Inspection Report
As the buyer, if your home inspection report identifies needed repairs or improvements and you’re unsure if the Association or the seller is responsible for them, please send your report for evaluation by the Architectural Standards Committee (BRCAhomeInspections@gmail.com) or by mail to the Architectural Standards Chair, 1 Stony Ridge, Asheville, NC 28804. Typically within a week of submission, the Committee will notify you and the seller in writing of items that the Association will and will not address, as authorized under the Association’s Declaration and policies. Authorized repairs will be made at the Association’s expense as soon as possible. Other repairs are negotiable between buyer and seller.
Secure and Reset Passcodes for Connected Appliances and Systems
More and more homes contain internet-connected technology such as; cameras, thermostats, and appliances to garage door openers and keyless locks. Ask your seller for a list of “connected” or “smart” appliances, systems or items in your new home – and get the password or code for each so you’ll be able to access, use and control it. Reset the passcodes to protect against hackers and to safeguard your security and privacy. Doing so will help ensure that the seller(s) or others who may have had access to the connected devices can no longer control them or tap into your personal information.
Ensure Required Insurance Coverage
You should be aware of two insurance requirements.
1. As a unit owner, you must obtain property and casualty coverage for your unit effective from the date of your closing. Refer to our Handbook's #3 Declaration and Bylaws, Section 8. Page 7 Declaration and Bylaws– to understand homeowner and Association insurance responsibilities, and work with an insurance agent to obtain the required, or desired, coverage. Please email our Insurance Committee (BRCA.insurance@gmail.com) if you have questions. Proof of insurance must be submitted to the Corporate Secretary (corpsecbrca@gmail.com).
2. You also must submit a Certificate of Insurance (COI) showing $1 million commercial liability insurance for each individual, contractor or subcontractor you will hire for work in your unit, including that associated with any Alteration Request or any routine interior projects and maintenance. COIs should be submitted by email to the Insurance Committee (BRCA.insurance@gmail.com). The certificate holder should be listed as Beaverdam Run Condominium Association, 1 Stony Ridge, Asheville, NC 28804.
Understand Your Maintenance Responsibilities
Beaverdam Run homeowners are responsible for maintaining and keeping in good repair all interior portions of their units including windows, doors and skylights, while the Association is responsible for maintaining residence roofs, exteriors, decks, and landscaping, as well as our shared facilities: clubhouse, pool, sports courts, etc. For a complete explanation of maintenance responsibilities, see the Handbook, #6 Building Maintenance Policies and Guidelines.
Seek Advance Approval of Planned Changes to Your Unit and Certificates of Insurance from Contractors
Before homeowners make alterations or repairs to their units, they must complete two steps:
- Obtain Board approval for the planned work;
- Make sure all individuals, contractors and sub-contractors hired submit a contract information sheet and Certificate of Insurance (COI) to our Insurance and Finance Committees before work begins.
- Obtain Board approval: Structural and exterior alterations, as well as interior remodeling and repairs, must be approved in advance by the Beaverdam Run Board. Examples include:
- Structural changes, such as altering walls, floors or ceilings, digging out a crawl space, etc.
- Exterior alterations, such as changes to decks and deck stairs, patios, exterior lighting and fixtures, windows, doors, exterior vents, etc.
- Any contracted renovation, remodel or repair, including painting, flooring installation, or electrical, plumbing, or HVAC work.

To request Board review and approval, submit a signed Alteration Request form and supporting documents to the Beaverdam Run Architectural Standards Committee (BRCAhomeInspections@gmail.com). Alteration Request forms are available here.
The Board typically will not approve alterations before closing. However, conditional or concept approval may be granted.
Reviews by the Architectural Standards Committee are completed promptly, usually within one week. Committee recommendations are forwarded to the Board for final action at its next regularly scheduled meeting. Depending on when the request is submitted within the regular cycle of Board meetings, the approval process can take up to a month. More complicated alteration requests can take several months to process.
Make sure contractors submit a Certificate of Insurance (COI): Individuals, contractors or subcontractors whom you hire to make an approved alteration must submit a Certificate of Insurance (COI) showing $1 million commercial liability insurance before they begin work. The certificate holder should be listed as Beaverdam Run Condominium Association, 1 Stony Ridge, Asheville, NC 28804. You, your contractors or their insurance agents may submit the COI by email to: Insurance Committee (BRCA.Insurance@gmail.com) and Finance Committee (BRCA.Finance.gov@gmail.com) In the email, be sure to indicate the unit number where the work will be done.
